Business Communication in Financial Institutions 7th BPE: Short Notes
(i) Communication Barriers
Communication barriers are obstacles that prevent a message from being transmitted, understood, or interpreted properly.
They reduce the effectiveness of communication between the sender and the receiver. These barriers may be physical, language-related, psychological, or organizational.
In business communication, barriers include withholding information, distorting facts, using complex language, cultural differences, and ineffective listening.
Internal barriers are the actions, attitudes, and feelings of the listener that prevent proper understanding. External barriers include factors such as background noise.
Communication barriers can be reduced by using clear language, active listening, empathy, proper feedback, and the right communication medium. Reducing these barriers improves communication and strengthens business relationships.
(ii) Effective Listening Techniques
Effective listening is an active process that requires full attention. A good listener maintains eye contact and removes distractions. They also keep an open mind and avoid making quick judgments.
A listener should not interrupt the speaker. They should wait for the right time to ask questions. They should also show empathy and give honest, brief, and constructive feedback.
A good listener pays attention to body language, voice tone, and other non-verbal signals. Effective listening reduces mistakes, saves time, resolves disputes, and improves communication.
(iii) Grapevine
Grapevine is an informal method of communication. It takes place without following official channels or formal rules.
It can occur among managers, employees, and clients through personal discussions.
There are four types of grapevine communication. These are Single Strand, Gossip Chain, Probability Chain, and Cluster Chain. Information spreads naturally from one person to another.
Grapevine helps information spread quickly and improves social interaction.
However, it may also spread rumours and incorrect information. Therefore, important information should be confirmed through formal communication.
(iv) Public Speaking
Public speaking is the act of speaking before a live audience. Its purpose may be to inform, entertain, or persuade people. It is an important communication skill.
A speaker should prepare talking points and practise before speaking. They should understand the audience and organize the speech properly. The opening should attract the audience’s attention.
A good speaker uses proper pauses instead of filler words. They maintain eye contact and use suitable gestures.
They also accept criticism positively and continue improving their speaking skills.
(v) Communication Process
The communication process is the sequence through which a message moves from a sender to a receiver.
The sender first encodes the message. The message is then sent through a suitable communication channel.
The receiver decodes the message and understands its meaning. Feedback is then sent to the sender to complete the communication process. Noise or barriers may affect communication at any stage.
A proper communication process helps messages reach the receiver correctly. It reduces misunderstanding and improves communication in the workplace.
(vi) Cover Letter
A cover letter, also called an application letter, creates the first impression on a potential employer.
It introduces the applicant and presents their ability to perform the job. It works like a sales document.
A good cover letter should attract the employer’s attention. It should include relevant education, skills, and experience.
The information should be arranged clearly and persuasively.
The letter should end with a polite request for an interview or further discussion. A cover letter and a résumé work together to present the applicant effectively.
(vii) Artificial Intelligence (AI)
Artificial Intelligence (AI) is the ability of computer systems to perform tasks that normally require human intelligence.
These tasks include learning, reasoning, problem-solving, and understanding language. AI improves its performance by analysing data.
AI is widely used in banking and business communication. It is used in chatbots, fraud detection, credit scoring, and report writing. It helps improve speed and efficiency.
AI also creates challenges. These include data privacy concerns, algorithmic bias, and the need to check the accuracy of AI-generated information. Human supervision remains important.
