Describe the content and structure of a business proposal

A business proposal is a structured and persuasive document used to present an idea, solution, or business opportunity to a reader.

Its goal is to convince the decision-maker to approve, fund, or accept the proposed plan.

A strong business proposal follows a clear and logical structure so that the reader can easily understand the problem, solution, and expected benefits.

Content and Structure of a Business Proposal

Introduction

The introduction sets the foundation of the proposal. It explains the current situation and why action is needed.

It usually includes:

  • Background: A brief explanation of the problem or situation. In unsolicited proposals, it must also show why the problem matters.
  • Solution Overview: A short description of the proposed solution and its key benefits.
  • Scope: Clearly defines what the proposal will cover and what it will not.
  • Structure Overview: A short guide to what sections will follow in the document.

Body

The body is the main part of the proposal where detailed explanations are provided. It must be clear, logical, and supported by facts.

It includes:

  • Facts and Evidence: Data, research, or statistics that support the proposal.
  • Detailed Solution: A full explanation of the idea, product, or service, with clear benefits for the reader.
  • Implementation Plan: Step-by-step process of how the solution will be executed, including timeline and responsibilities.
  • Qualifications: Proof that the proposer has the skills, experience, and capability to deliver the solution successfully.
  • Cost Breakdown: A transparent explanation of all costs such as materials, labor, training, and other expenses.

Conclusion

The conclusion summarizes the proposal in a clear and convincing way.

It includes:

  • A short summary of key points
  • Main benefits for the reader
  • Why this solution is better than alternatives
  • A final request for approval or decision

Supplementary Sections

Some proposals also include extra sections for supporting information:

  • Appendix: Additional detailed information that supports the main content
  • References: Sources of data or research used
  • CVs or Profiles: Details of key team members (mainly in external proposals)
