Describe the process of effective business communication
Effective business communication follows a ten-step process. The sender performs the first six steps. The receiver completes the remaining four steps.
The Sender’s Six Steps
Identify the Need
The sender identifies why communication is necessary. The reason may be a problem, an opportunity, or a routine update. This step creates the foundation for effective communication.
Define the Situation
The sender analyzes the communication situation. The sender considers who the receiver is and how the receiver may respond. This helps prepare an appropriate message.
Consider Options
The sender evaluates different communication methods. The sender decides whether the message should be verbal or written, detailed or brief. The best option should meet both the sender’s and receiver’s needs.
Choose an Action
The sender selects the most suitable communication method. The sender decides the message format, language, tone, and communication channel.
Craft the Message
The sender prepares the message carefully. The message should be clear, accurate, well-structured, and appropriate for the audience.
Send the Message
The sender delivers the message through the selected channel. The sender should choose the right time to ensure the message receives proper attention.
The Receiver’s Four Steps
Receive the Message
The receiver receives the message through the selected communication channel.
Understand the Message
The receiver reads or listens to the message. The receiver interprets its meaning correctly.
Decide on a Response
The receiver decides how to respond. At this stage, the receiver becomes the new sender.
Reply
The receiver sends feedback or a reply. This completes the communication process.
Feedback and Noise
Feedback confirms whether the receiver has understood the message correctly. Noise can interrupt communication at any stage.
It may be physical, such as a poor network connection, or psychological, such as emotions or cultural differences. Reducing noise helps make communication more effective.
