Write the rules of conducting meetings. As a convenor, what steps will you consider to make it successful?

The ability to conduct meetings effectively is an important managerial skill in any organization. A well-conducted meeting ensures better decision-making, teamwork, and efficient use of time. As a convenor, proper planning and disciplined execution are essential.

Preparation Before the Meeting:

Define the objective:

Clearly decide what the meeting should achieve, such as decision-making, problem-solving, or information sharing.

Select participants carefully:

Invite only relevant persons to ensure effective use of time and focused discussion.

Choose the meeting format and venue:

Decide whether the meeting will be online or face-to-face. For physical meetings, ensure proper seating, lighting, ventilation, and facilities.

Prepare and distribute the agenda:

Send a clear agenda in advance so participants can prepare and contribute effectively.

Rules of Conducting the Meeting:

Stay on topic:

The discussion should strictly follow the agenda. The convenor must guide the conversation.

Follow meeting rules and structure:

Maintain discipline regarding speaking order, time limits, and discussion procedures.

Encourage active participation:

All members should share ideas, opinions, and relevant information.

Avoid interruptions:

Participants should wait for their turn to speak to maintain order and respect.

Maintain discipline:

Mobile phones should be kept silent, and unnecessary distractions must be avoided.

Conclude properly:

Summarize key decisions, assign responsibilities, and ensure clarity among all participants.

Recording Meeting Results (Meeting Minutes):

Meeting minutes should be prepared to document the discussion. They should include:

  • Names of attendees and absentees
  • Time of start and end of the meeting
  • Key decisions taken
  • Tasks and responsibilities assigned
  • Important points discussed and deferred issues

Conclusion:

A successful meeting depends on clear preparation, disciplined conduct, and proper documentation. A convenor plays a key role in ensuring that the meeting remains focused, productive, and result-oriented.
